Web Document Center - Independent Use

The "Web Document Center" has been fully integrated into the Windows and MAC pugins, and therefore the instructions provided in this article are mostly unnecessary. Please see the WEB Document Center tutorial

The original "Document Center" has been a valuable asset to Talking Communities' Web Conferencing technology for many years. However, in order to upload PowerPoint, Word, and other Office documents, room moderators needed some version of Microsoft Office installed on their computers. Further, the "operating system" had to be Windows.

The uploading process has been modified to convert documents to HTML directly on the server. Therefore, there is no further need for Microsoft Office to be installed on the Moderator's PC. This has some very obvious advantages such as: a) not needing Microsoft Office, b) no need to worry about the version of Microsoft Office that is installed. However, there are other not-so-obvious advantages such as:

  1. Uploading files is no longer limited to Windows - uploading can now be done from a MAC or a Linux system, as well as the much-used Windows environment.
  2. Files created with Open Office can now be uploaded. - if they are saved in a Microsoft Office compatible format.
  3. Using the Document Center to upload files is no longer limited to individuals logged into a room as a moderator - this article discusses this benefit.

Talking Communities has provided a button in the Administration menu to launch the Web Document Center. You may also use the Web Document Center as follows:

If the Web Document Center is to be used for "pushing" pages to an online audience, the room's co-browser would be used. Otherwise, for uploading files (for example), any browser can be used.

URLs:
URL1: http://conference321.com/documentcenter/ - You will be prompted for the room id (14 characters), the user name, and the moderator password.
URL2: http://conference321.com/documentcenter/?id=?&u=?&p=? - You provide the room id, user name, and moderator password as parameters in the URL - replace id=? with id=your room id, replace u=? with u=your name, replace p=? with p=room moderator password.

Usage

Upload files:

  1. Load URL1 or URL2 into room co-browser or default browser - if using URL1, fill in the form and click login.
  2. Click Upload
  3. Click Browse
  4. Select file and click Upload File

Using an uploaded file in a room:

  1. Load URL1 or URL2 into room co-browser - if using URL1, fill in the form and click login.
  2. Enable Follow Me (use shortcut, context menu or administration menu).
  3. Click file to use - the file will open in the co-browser.
  4. If using PPT or PPTX files:
    1. A white page will appear and the slide thumbnails (slide numbers for files uploaded with the original Document Center) will display across the bottom - the audience will not see this navigation window.
    2. Click Next (or the slide number of thumbnail) to push the appropriate slide.

To delete item:

  1. Load URL1 or URL2 into room co-browser or default browser - if using URL1, fill in the form and click login.
  2. Click Delete icon for file to be deleted.
  3. Click OK for deletion confirmation prompt.

To Open in new window (default browser:

  1. Load URL1 or URL2 into room co-browser or default browser - if using URL1, fill in the form and click login.
  2. Click Open in New Window (far right) icon.
  3. File will open in a new browser (not co-browser) window.
